How to compare your options
Choose the room after drawing the dinner layout, not just counting invitations. A ballroom may save you from a costly room change if you need a band, dance floor and ceremony seating, but its maximum capacity need not be the most economical fit. For a tented property, insist on a separate tent and weather budget before comparing it with an indoor hall.

Ask for one written total
Have the venue separate rent, required services, food and beverage minimums, service charges, tax and deposits. Confirm which payments reduce the final balance and which are extra. Request the cancellation, weather and overtime terms with the quote.
If coordination is included or required, compare its scope with a wedding coordinator or day-of coordinator before hiring additional help.
